App Notifications Guide

This article explains what App Notifications are, how Booking Reminder schedules work, where to configure them, and how to interpret and troubleshoot notification behaviour so you can ensure users receive timely reminders for their bookings.

App Notifications – Booking Reminder Configuration

1. What are App Notifications?

App Notifications are automated push notifications sent to users through the BaseUp app. They are primarily used to remind users about upcoming bookings, helping reduce missed bookings and improve overall utilisation of sites and resources.

Each notification schedule defines:

  • Which site the notification applies to

  • The message users will receive

  • When the notification is sent (days before and time of day)

  • Whether notifications apply only to upcoming bookings or also to used bookings

App Notifications help answer questions such as:

  • Have users been reminded about their upcoming bookings?

  • Are reminders being sent at the right time?

  • Is notification behaviour aligned with site operations?

2. When should you use Booking Reminder notifications?

Booking Reminder notifications are most useful when:

  • Sites experience frequent no-shows or forgotten bookings

  • Users have early-morning or after-hours bookings

  • Parking bays or assets must be released if unused

  • You want consistent communication without manual follow-up

Typical use cases include:

  • Same-day reminders sent early in the morning

  • Day-before reminders for important or high-demand bookings

  • Reminders for sites with strict access or compliance requirements

3. Where to configure App Notifications

To create or manage Booking Reminder schedules:

  1. Log in to the BaseUp Admin Portal.

  2. Navigate to Configuration > App Notifications.

  3. Select New Schedule Configuration (or edit an existing schedule).

This page allows you to configure how and when booking reminders are sent to users.

4. How Booking Reminder notifications work (Typical flow)

A typical reminder flow works as follows:

  1. A user creates a booking at a site.

  2. The booking matches an active Booking Reminder schedule for that site.

  3. Based on the Days Before and Sending Time, the system schedules the notification.

  4. At the configured time, a push notification is sent to the user’s BaseUp app.

  5. The user receives and views the reminder on their device.

If the booking is cancelled before the reminder is sent, no notification will be delivered.

5. Creating a Booking Reminder Schedule

When creating a new schedule, you will see the following fields:

Site (Required)

Select the site the reminder applies to. Only bookings at this site will trigger notifications.

Name (Required)

An internal name used to identify the schedule in the Admin Portal. This name is not visible to users.

Example:

Sydney Office – Day Before Reminder

Notification Title

The title shown to users in the push notification.

Examples:

  • Upcoming Booking Reminder

  • Don’t forget your booking

Notification Body

The main message content displayed to users.

Examples:

  • You have a booking scheduled for tomorrow. Please remember to check in on arrival.

  • Your booking is today. Please cancel if you no longer need it.

Days Before

Defines how many days in advance the reminder is sent.

  • 0 – Send the reminder on the day of the booking

  • 1 or more – Send the reminder days before the booking date

Sending Time

The time of day the notification will be sent, based on the Days Before.

Example:

  • Days Before: 1

  • Sending Time: 5:00 AM > Notification is sent at 5:00 AM the day before the booking.

Include Used Bookings

Controls whether reminders are sent for bookings that have already been used.

  • Disabled: Notifications are sent only for upcoming, unused bookings (recommended).

  • Enabled: Notifications are also sent for used bookings.

6. Notification examples by scenario

Same-day reminder

  • Title: Today’s Booking Reminder

  • Body: You have a booking today. Please remember to check in when you arrive.

Day-before reminder

  • Title: Booking Tomorrow

  • Body: You have a booking scheduled for tomorrow. Please cancel if you no longer need it.

Early-morning site reminder

7. Special notes and limitations

  • Users must have the BaseUp mobile app installed to receive push notifications.

  • App notification permissions must be enabled on the user’s device.

  • Notifications are not delivered if the booking is cancelled before the scheduled send time.

  • If Include Used Bookings is disabled, reminders will not be sent once a booking is marked as used.

  • Notification content should be kept short due to mobile word limits.

8. Troubleshooting Booking Reminder notifications

If users report not receiving reminders, check the following:

  1. Confirm the user has an active booking at the selected site.

  2. Verify the Days Before and Sending Time configuration.

  3. Ensure the reminder schedule is saved and active.

  4. Ask the user to check app notification permissions on their device.

  5. Confirm the user is logged into the BaseUp app.

If the issue persists, collect:

  • Site name

  • Booking date and time

  • User details
