Policy Limits Guide

What are policy limits and when to use this configuration.

What are policy limits?

Policy limits control how many bays can be booked under a specific policy on specific days.

Before you start

Remember:

  • A policy is linked to an asset group (a group of bays).

  • If you have multiple policies linked to the same asset group, and you want to reduce capacity for that group, you must update the limits on all of those policies.

  • If you have only one policy linked to that asset group, you only need to update that one policy.

How to configure policy limits

  1. Go to Configuration > Policies in the Management Portal.

  2. Find and select the policy you want to change.

  3. Click on the Limits tab.

You will now see:

  • A Default limit field set to 0, meaning, there are no limits configured on this policy and all bays linked to this policy are bookable

  • A Weekday Limits that sets how many bays are bookable per weekday. If empty, no limits are configured and all bays in the asset group of that policy are bookable.

  • A table of dates for the next month, with empty fields next to each date.

Default limit

  • The Default limit is usually set to 0.

  • 0 here means: no default limit is configured and all bays in the asset group are bookable (up to the full number of bays in that group).

  • In most cases, you do not need to change the Default limit.

Setting limits on specific dates

Below the Default limit, you will see a list of dates for the next month.

  • Each date has an empty field.

  • If the field is empty, it means no limit is set for that day and the policy can use all bays in the linked asset group.

  • If you enter a number, that number is the maximum number of bays that are bookable under this policy on that date.

🔑 Important:
The number you enter is the number of bays that are bookable,
not the number of bays you want to block.

You can think of it as:

Bookable bays = Total bays in asset group – Bays you want to block

Below the Default limit, you will see a list of dates for the next month.

Example 1 – Only 40 bays should be bookable

  • Asset group has 100 bays

  • You want only 40 bays to be bookable on a given day

On that date:

  • Enter 40 in the limit field

  • Result: 40 bays bookable, 60 bays effectively blocked

Example 2 – You want to block 40 bays for an event

  • Asset group has 100 bays

  • You want to block 40 bays and keep 60 bays bookable on the event day

On that date:

  • Enter 60 in the limit field

  • Result: 60 bays bookable, 40 bays effectively blocked

So if someone says:

“I need to block 40 bays for an event”

You first check how many bays are in the asset group, then:

  1. Work out how many should still be bookable

  2. Enter that number in the limit field

Key things to remember

  • The number you enter = number of bays that are bookable on that day for that policy.

  • Empty fields = no limit for that date (full number of bays in the asset group can be used).

  • If multiple policies share the same asset group, update all relevant policies to properly reduce overall capacity.
