What is passback?
Passback is a car park rule that controls how drivers use their access booking.
It is turned on for some sites, based on BaseUp’s infringement recommendations during implementation and the client’s choice.
Why use passback?
Passback is used when clients want to enforce correct use of the car park.
A common rule is:
A driver must enter the car park before they are allowed to exit, or; a driver must enter the nested area within 15 minutes.
This helps stop behaviours like:
Drivers “tailgating” or letting other people into the car park with their booking
Drivers parking in the wrong area
One booking being used by multiple vehicles
How passback works
With passback on, the system checks the order of events:
If there is no entry recorded, the system can block exit
If someone tries to enter or exit in a way that breaks the rules, access can be denied
If someone does not proceed to an area within the configured limit, an incident is generated for reporting purposes.
Passback + in-ground loops
When passback is combined with in-ground loops, the setup becomes very strict and reliable:
The gate will only open if a vehicle is detected on the loop (sensor in the ground)
Passback then makes sure the vehicle’s entry and exit order is correct
Together, this means:
A real car must be at the gate and
The booking or access pass must follow the correct entry/exit sequence
This creates a “bulletproof” configuration to prevent misuse of the car park.
How do I know if passback is enabled on my site?
Go to Operations > Live View in the Management Portal.
Check if you can see a Passback State column (07th column as per image below):
If the Passback State column is visible, passback is enabled for that site.
If you do not see this column, passback is not configured for that site.
How do I update a passback state?
If you are helping a driver enter the car park using Remote trigger on booking, the driver’s passback state is updated automatically based on the gate you open.
This means:
If you open an entry gate, the passback state will change to Enter
If you open an exit gate, the passback state will change to Exit
How to use Remote trigger on booking
Go to Operations > Live View.
Find the booking for the driver you are assisting.
Right-click on the booking row.
Select the gate you want to open (entry or exit).
The gate will open for that driver, and their passback state will be updated automatically for that booking.
How do I manually update a passback state?
You can manually change a driver’s passback state from Live View:
Go to Operations > Live View.
Find the booking you want to update.
In the Passback State column, click the shuffle icon next to the current state.
Select the new passback state (for example, change from Enter to Exit).
The booking will now use the new passback state for future access events.
How do I configure passback at my site?
You cannot switch passback on or off yourself.
This configuration must be done by the BaseUp Client Success team.
If you want passback enabled (or reviewed) at your site:
Raise a support ticket with BaseUp.
In the ticket, explain why you want passback on – for example:
Drivers are letting other people into the car park
Bookings are being shared between multiple vehicles
You want stricter control of entry and exit
You want better auditing reports
Our Client Success team will review your request and configure passback based on the problem you are trying to solve and your site setup.
