What it is
The View Incidents tab shows issues and events that happened in your car parks.
Why it matters
The Overview page summarises incidents for the current day and week, so you can see at a glance whether something needs attention.
The Incidents tab is where you go for more detail. Use it to:
See which driver had a specific issue.
See which admin has been opening the gate the most.
See common access and parking problems.
Understand how often drivers need help.
Spot patterns so you can improve car park rules, signage, or capacity.
How to access it and generate a report
Go to Operations > View Incidents, select a date range, and export the table to CSV to analyse the data.
Apply filters based on the incidents you want to look at.
Incident types
Remote Open on Booking
What it means
An admin opened the gate remotely for a specific booking, usually to help a driver at the gate.
Most admins only have access to open the gate this way, tied to a specific booking, rather than opening it generally. This keeps access limited to authorised drivers.
What you can learn
How often admins step in to help a specific driver, rather than opening a gate generally.
Which bookings or drivers need the most manual support.
Whether recurring support requests point to a hardware or access issue for that driver.
Access Controller Remote Trigger (Manage Controllers)
What it means
Admins can open gates from the Access Controllers tab on the dashboard. This incident shows when a gate was opened remotely from that tab, with date and time.
Related view: on Access Controllers > Logs, you can see remote trigger on booking logs, which shows which booking a remote open was linked to and who was helped.
What you can learn
How often admins manually open gates.
Which gates need the most support.
Whether there are recurring issues at specific times or locations.
Access Controller Remote Trigger (Live View)
What it means
Admins can also open gates from the Live View tab on the dashboard. This incident shows each time a gate was opened from there, with date and time.
What you can learn
How often gates are opened while watching cameras or live feeds.
Whether staff rely on Live View to manage access.
Times of day when manual control is most used.
Driver Reported Space Taken (Swapped)
What it means
A driver reported in the app that their space was taken. The other car did have a booking, so BaseUp swapped the bookings between the two drivers.
What you can learn
How often drivers park in the wrong bay.
How often BaseUp can fix these issues without impact to the driver.
Whether you need clearer bay signage or instructions.
Whether you should consider assigning drivers to Any Bay.
Driver Reported Space Taken (Reassigned)
What it means
A driver reported in the app that their space was taken. The other car did not have a booking, and BaseUp successfully moved the driver to another empty bay.
What you can learn
How often non-booked drivers park in reserved bays.
How often there was spare capacity to fix the problem.
Signs of casual or unauthorised parking, so you can take action with building management or the landlord.
Driver Reported Space Taken (Not Resolved)
What it means
A driver reported in the app that their space was taken. The other car did not have a booking, and BaseUp could not reallocate the driver because no other bays were available.
What you can learn
Times when illegal parking caused real impact to drivers.
Signs that the car park may be running at or over capacity.
Whether more enforcement is needed.
Driver Reported Space Taken (Offline, Not Resolved)
What it means
A driver reported in the app that their space was taken, but this feature was set to offline mode. The driver saw a pre-set message, and BaseUp did not move them to another bay.
What you can learn
How often "space taken" issues occur while the feature is offline.
The scale of illegal parking, even when no live support is used.
Whether you should turn this feature back online for live handling. This is only possible if you have phone signal in your car park. Offline mode is usually only enabled when the car park has no phone signal.
For all "space taken" incidents, you'll see the details of the driver who reported their space taken, and the vehicle registration of the reported vehicles.
Passback State Manually Updated (Live View)
What it means
On sites that use passback, a rule that controls how often one access pass can enter and exit, an incident is logged when an admin manually changes someone's passback state.
Example: an admin helps a driver enter, then changes passback to exit so the driver can leave later.
What you can learn
How often admins need to override passback rules.
Whether passback rules are too strict or confusing.
Whether drivers are following the correct flow to enter and exit the car park.
Entry without exit
What it means
The booking shows an entry access event but no exit access event. This suggests the driver stayed past the booking end time or left without using the proper exit.
What you can learn
How often drivers overstay their booking.
Whether you need enforcement.
Combined with space taken incidents, whether overstays are actually creating operational problems.
