What is Live View?
The Live View tab shows what is happening in your car park right now.
It lets your operations team see:
All current and upcoming bookings
The access events linked to each booking (entries and exits)
Which drivers might be having problems entering or exiting
Driver's passback states
This is the main “control room” view for day-to-day parking operations.
Who uses Live View?
Live View is mainly used by:
Workplace / facilities managers
Building or site operations teams
Concierge / front-of-house staff
Anyone responsible for supporting drivers and keeping the car park running smoothly
For most operations roles, Live View is the first page they open when they log in to the BaseUp Management Portal.
Why Live View matters
Use Live View to:
See which bookings are active right now
Check whether drivers have entered or exited correctly
Quickly help a driver who is stuck at a gate
Open gates remotely when in app access fails
Update passback states so a driver can enter or exit again
Move bookings to a different bay if a space is blocked or unavailable
Look at future dates to plan how busy the car park will be
Look at past dates to check what happened if there is a question or dispute
Live View helps you solve issues in real time and also review what has happened across different days.
How to access Live View
Go to Operations > Live View in the Management Portal.
Use filters (for example by site or date/time) to focus on:
Today / now – for live operations
Future dates – to see how busy the car park will be and plan support
Past dates – to check bookings and access events for audits or investigations
You will see a table of bookings with information such as:
Driver details
Vehicle details
Bay / asset
Booking time
Access events (entry and exit)
Passback state (on sites that use passback)
What you can do in Live View
1. Help a driver enter or exit (remote trigger)
If a driver is at the gate and cannot enter or exit:
Go to Operations > Live View > Today
Find the driver’s booking in the table.
Right-click on the booking row.
Select the gate you want to open (entry or exit).
The gate will open for that driver.
On passback sites, their passback state will also be updated automatically based on the gate you open.
(See the Passback Guide for more detail.)
Please note the gate will not open if the hardware is offline or the gate is broken.
2. Update a passback state
If a driver is blocked because of passback:
Go to Operations > Live View.
Find the relevant booking.
In the Passback State column, click the shuffle icon next to the current state.
Select the new passback state (for example, change from Enter to Exit).
The new passback state will be used for the next access event for that booking.
3. Move a booking to a different bay
If a bay is blocked, taken, or should not be used:
Go to Operations > Live View.
Select the booking you want to move.
Select 'move booking.
Select the new bay from the list of available bays.
The update will be reflected in the driver's app.
What if there are no bays available to move the booking?
If there are no free bays to move a booking into:
Follow your company’s policies and processes for handling the situation
(for example, escalation, alternative parking, or communication with the driver).
If it is common for:
Drivers to park illegally in your reserved spaces, or
Your team to spend a lot of time shuffling bookings because bays are blocked,
we highly recommend setting aside a few overflow bays that are not bookable in normal use.
This gives you spare capacity to move bookings into when issues arise.
To do this:
Create an “Overflow” asset group.
Add a few bays to that group.
Make sure this asset group is not linked to any policies, so those bays are only used when you manually move bookings.
For more detail on how to set this up, see the Asset Groups Guide.
Using Live View for future and past checks
Future dates
Check how many bookings are scheduled
See which bays and policies will be in use
Plan staffing or support for busy days
Past dates
Check what happened for a specific driver or booking
Confirm whether someone entered or exited
Support investigations, complaints or disputes
Live View is useful both in the moment and when you need to answer “what happened on that day?” questions.
How Live View works with incidents and reports
When you help drivers (for example, remote trigger, passback updates, moving bookings), related events can appear in the Incidents tab or logs.
You can then use Incident reports to review:
How often drivers need help
Which gates or bays cause the most issues
Where you may need to adjust rules, signage or capacity
Live View is for real-time operations, and the Incidents and Reports tabs are for audit and analysis.
