Updating User Groups

This guide walks you through the three main ways to update user groups

Overview

User groups control who in your organisation can access parking and under which rules. You can update user groups in three ways: Note: Admin access to the BaseUp dashboard is managed by BaseUp and may require backend setup.

  1. CSV upload – best for bulk changes

  2. Individual email addresses – best for one-off updates

  3. Domain registration – allow drivers to self-register into a group

  1. CSV Upload Navigation: To access User Groups, go to the Dashboard, select Configuration, and choose the relevant User Group.

CSV upload is the fastest way to add or remove many users from groups at once.

To upload a list of users, create a CSV file in Excel with a single header titled identifier. In the rows beneath, enter each user’s email address—one per line—and then save the file as a CSV., and save.

From there, head to the user group you want to add the users to and click the Upload CSV button.

Chose how you want the users to be processed and select 'Upload Users.

You can upload a CSV to add or remove users from a user group.

2. Adding or removing individual email addresses

Select the user group you want to add or remove a user from.

To add a user:

  • Click 'Add User' on the top right corner

  • Enter the user’s email address

  • Click 'Add User' Tip: After adding a user, inform them to download the BaseUp mobile app and log in using their work email to book parking and access the car park. If users will book parking via the BaseUp Web Portal instead, ensure users are provided with the correct Web Portal link (web.baseup.com.au), as using the admin dashboard URL will prevent them from booking parking.

To remove a user:

  1. Open the Users tab of the relevant User Group

  2. Click the select icon (checkbox) next to the user's email address

  3. Click Remove Users in the top right corner

3. Domain-Based Self-Registration If users are allowed to self-register for parking, they must have an approved email domain in order to be automatically added to the correct user group. These accepted domains are set up for you during implementation. If you need to add or remove a domain later, follow the steps below. If a domain is not registered, users associated with that domain will not see the building in their account and will be unable to book parking.

Important: If you remove a domain, you must also remove all users with that domain from the main group; otherwise, those users will still be able to book parking.

Domains are managed in the Registration Rules tab of the user group. Once you open the tab, you will see a text box containing your current list of approved domains.

  1. Type or paste the domain(s) you want to add into the text box — you can paste a list of user emails in any format, or input domains directly (e.g. company.com). BaseUp will extract and format the domains automatically.

  2. To remove a domain, delete it from the text box.

  3. Click Save to confirm your changes. Click Refresh to reformat the list if needed.

Users with an email address matching a saved domain can then self-register and book parking, as long as the user group is linked to an active policy.

Domains are added and removed in the 'Registration Rules' tab of the user group.
