How to updates bays on BaseUp

This article explains when and how to update bays in BaseUp, including what changes you can manage yourself and what changes must be done by the BaseUp Client Success team

When do I need to add or update bays?

You’ll usually need BaseUp to update bays in these situations:

1. Leasing additional bays
You have leased extra bays from building management and you now want to:

  • Add those bays into BaseUp (digitise them)

  • Make them bookable for staff or visitors

  • Or set up allocations for specific dirvers

2. Returning bays / bay number changes

You have returned some bays to the landlord and:

  • Bay numbers have changed, or

  • The layout has been updated (for example, bays shifted or renumbered)

You need BaseUp to match the new numbering and layout so bookings and allocations line up with the real-world car park.

3. Landlords offering casual parking to tenants
If you are a landlord using BaseUp to offer casual parking to multiple tenants, bay changes happen often. For example:

  • A tenant returns some of their leased bays

  • You want those bays to become part of your casual parking pool

4. When a bay changes its purpose
Sometimes a bay’s use case changes, even though you still lease it. For example:

  • A bay that was previously visitor-only is now going to be assigned as a permanent allocated bay for a specific driver

  • A bay that was part of a general staff pool is now reserved for a particular user group

In many of these cases, you don’t need BaseUp to edit the bay itself – you just:

  • Move the bay between asset groups (for example, from Visitor to Allocated/Staff), and/or

  • Update or create allocations for the new permanent driver

First, check if those bays are already in BaseUp:

  • Go to your Asset Groups and look for the bay numbers

  • If the bays are not visible in any asset group, they are not yet set up in BaseUp and you will need to raise a request with BaseUp for us to add them

  • Once they exist in BaseUp, you (or BaseUp) can link them to the right asset groups and policies so they become bookable as casual bays

What bay changes can I do myself vs what needs BaseUp’s help?

We want you to self-serve as much as possible, but some bay changes can only be done by the BaseUp team.

Changes that must be done by the BaseUp Client Success team

These always require a support ticket:

  • Adding new bays that are not yet in BaseUp

  • Removing or retiring bays that are no longer leased

  • Renaming or renumbering bays

  • Changing which site or car park a bay belongs to

For these, raise a request via the Support widget in the Management Portal.

Bay changes you can do yourself in the dashboard

If you still lease the bay and it already exists in BaseUp, you often don’t need BaseUp to change the bay itself. You can safely make these changes on your own:

  • Move bays between asset groups

    • Example: a bay that used to sit in a Visitor asset group can be moved into a Casual/Staff asset group so different users can book it.

  • Change a permanent allocation from one bay to another

    • Example: if an allocated bay is no longer suitable, you can move the allocation to a different bay that already exists in BaseUp.

These changes let you adjust who can use which bays without needing BaseUp to edit the underlying bay data.

If you’re not sure whether something needs a Client Success change or is just an asset group / allocation change, open the Support widget, describe what you’re trying to do, and the team will point you to the right path.

How to request new bays or bay updates

  1. Open the Support widget in the BaseUp Management Portal

  2. Briefly describe what you need, for example:

    • “Add bays 201–210 to our Basement 2 car park”

    • “We’ve returned bays 15–16 and renumbered 17–20, please update BaseUp”

    • “Tenant has returned bays 30–32, we’d like these added to our casual pool”

  3. Submit the ticket so the Client Success team can process the change

To speed things up, include:

  • Car park / site name

  • Exact bay numbers (old and new if renumbered)

  • Bay categories (EV, SUV, small car, accessible)

  • Level/area (e.g. B2, P3, Ground)

  • How you want to use them (casual, staff, visitor, allocation, non-bookable)

  • From which date the change should apply
