BaseUp | Key Tenant Contact Quick Overview

This document helps tenants use the BaseUp Management Portal to self-manage parking, support their own drivers, and get the most value from their leased bays, without needing to go through building management.

The BaseUp Management Portal

This is your self-service parking dashboard, where you control who parks, how bays are used, and what rules apply.

  • Use the support widget and type what you’re trying to do (for example “find a user”, “block a bay”, “see who’s in the car park today”) and you’ll get an immediate, step-by-step answer on how to do it in the portal.

Carparking FAQs

1. What do I do if there is an issue at the gate or in the car park?

If a driver has trouble getting into the car park, they can use the Get Help button in the BaseUp app. This will allow them to open the gate using ‘remote trigger’ as a backup to bluetooth or call the Key Tenant Contact you provided during onboarding (for example, reception or your key parking contact).

To troubleshoot and assist the driver:

  • Log in to the BaseUp Management Portal

  • Go to Operations > Live View

  • Check if the driver has a valid booking or allocation

  • From Live View, you can remotely open the gate by right clicking the booking and choosing the gate you wish to open.

  • You will only be able to open the gate if the person calling has a valid booking or allocation in the system.

  • If they don’t have a booking, they will not be allowed access to the carpark.

3. How do I manage who has access to parking?

With BaseUp, you don’t need to go through building management every time someone’s parking needs to be updated. You can manage this yourself for your own organisation.

At a high level, you will:

  • Create an allocation for someone who needs a permanent bay in the car park

  • Add people to the right user group if they should be able to book casual parking (for example, “All Staff”, “Executives”, “Contractors”)

  • Adjust who sits in which group as roles or entitlements change

For detailed, step-by-step instructions on how to do each of these (for example “create an allocation”, “add a user to a group”), open the support widget in the dashboard and type what you are trying to do. It will guide you through the exact clicks in your Management Portal.

4. How do I check what parking access a staff member has?

Go to the ‘Use User Search’ tab in the Management Portal and input the driver’s email address:

  • If you search for someone and you don’t find them, they are not yet set up for parking access in BaseUp yet.

  • If you find the user, open their profile and check:

    • Which policies they are linked to (this tells you if they can book, and under what rules: free vs paid, when they can book, etc.)

    • Whether they have any allocations (permanent bays)

If you find the user but they have no policies and no allocations, they are not yet set up for parking and will not be able to book or use a permanent bay until you configure that for them.

4. When should I contact BaseUp vs building management?

Contact BaseUp if you need help using the Management Portal or BaseUp app, or with things like user groups or policies. Use the support widget, raise a ticket, or email [email protected].

Contact building management / Facilities Managers for parking operations and physical matters like leasing more bays, bay numbering, signage, or faults with base building equipment.

5. How do I make the most of our leased bays?

BaseUp is designed to help you get the most value from your leased car spaces by giving you digital access to your bays, deciding how they should be used and who can book them. Start by checking the Reports in the dashboard to see your users-per-bay ratio and key information around the busiest days of the week.

If you have allocations and can see that not all bays are being used, we recommend promoting the Share and Gift feature (available in all precincts). Allocated drivers can release or share their bay on days they don’t need it, so other staff can book and use those spaces.

If you rely on bookings and still see unused bays, review who in your company has access to parking. There may be an opportunity to open up parking to more people so the bays are used more often.

If you have any questions in general or would like to learn more about optimising your bays, use the support widget in the dashboard to raise a ticket, or email [email protected].
