How to filter your custom reports

This article explains how custom reports work, what each filter does, and how to read each report. Use it to answer questions about report filters, report totals, and why two reports show different numbers.

Key terms

  • Bay: A single parking space.

  • Asset group: A group of bays. Each asset group can be linked to a parking policy.

  • Parking policy: Sets the booking rules for an asset group and which drivers can book it. Bays in an asset group linked to a parking policy can be booked in the app. Asset groups without a parking policy can only be booked by admins, using the management portal.

  • Booked bay: A bay that a driver booked or that is permanently assigned to a driver.

  • Vacant bay: A bay that no driver booked and that isn't assigned to a driver.

  • Permanently allocated bay: A bay assigned to one or more drivers on an ongoing basis. These drivers don't need to book.

  • Precinct: A car park where BaseUp is the access control system. All tenants who lease bays manage them in BaseUp, and drivers enter the car park using the app or licence plate recognition (LPR).

  • Precinct landlord: The organisation that owns a building and its car park. A precinct landlord can lease bays to tenants and make other bays available for casual bookings. A precinct landlord can have some sites that are precincts and others that aren't.

  • Tenant: An organisation whose drivers park in the precinct landlord's car park. Some tenants lease bays from the landlord. Others don't lease any bays and only book landlord casual bays. Only tenants who lease bays and manage them in BaseUp appear in the Tenant and Leased by filters.

  • Tenant leased bays (Leased Bays): Bays a tenant leases from the landlord and manages in BaseUp. The Leased Bays report shows how many of these bays there are. This applies to precincts only.

  • Landlord casual bays (Unleased Bays): Bays the landlord manages and makes available for casual bookings. They are not leased to a tenant. The Unleased Bays report shows how many of these bays there are.

  • Usage: A name that groups similar types of parking together for reporting, such as EV parking or PAYG. Usages are linked to parking policies.

  • Booking completion: Shows whether bookings were used. A booking is used when the driver enters the car park.

  • Revenue: Money earned from paid bookings made in BaseUp.

  • Casual bay revenue: For precinct landlords, revenue from bookings in landlord casual bays. It doesn't include income from bays the landlord leases directly to tenants.

  • Email domain: The part of a driver's email address after the @ sign, such as company.com.au. Reports use it to group drivers by company, including companies that don't manage their parking in BaseUp.

  • Incident: An event logged in the car park, such as a driver reporting their space was taken or an admin opening a gate remotely.

  • Utilisation: The number or percentage of bays that were booked. Utilisation doesn't show whether a driver actually used their booking.

How reports work before you apply filters

Each report opens with a default date range. Until you apply filters, the report shows totals for all your data.

Each report shows data by day, week, month or quarter. When you change the date range, this can change automatically. For example, if a report shows data by day and you select year to date, it switches to show data by week or month. A full year of daily data would be too long to read.

Filters available to all organisations

Date range

Choose the period you want to see data for.

Sites

Choose one or more sites. If you don't choose a site, the report shows data for all your sites.

Buildings

Some sites have more than one building in the same car park. For example, Precinct 101 has Building A and Building B in one car park, and each building is set up separately in BaseUp.

Use this filter to choose a site and then narrow it to one building. This filter only appears if your site has more than one building set up.

Asset groups

Use this filter to see data for one group of bays only. For example, if you have a visitor asset group, choose it to see visitor parking data on its own.

Parking

Bays can be set up in different ways. For example:

  • Some bays are permanently allocated to drivers.

  • Some bays can be booked in the app for a fee.

  • Some bays can be booked in the app for free.

  • Some bays can't be booked in the app. Only admins can book them, using the management portal.

Use this filter to compare types of parking. For example, choose paid parking and then free parking to compare how many bookings were made but not used in each.

Usages

A usage is a name that groups similar types of parking together for reporting. Usages are linked to parking policies, and several parking policies can share the same usage. Each client can set up usages using their own business terms. For example, some clients call paid parking PAYG (pay as you go).

Use this filter to see how one type of parking performs. For example, some clients set up EV parking as a usage so they can compare EV bookings with other bookings.

Filters available to precinct landlords only

Precinct landlords have two extra filters: Leased by and Tenant. They look similar but show different data.

Leased by

This filter shows data for the bays a tenant leases from you and manages in BaseUp.

It doesn't include that tenant's drivers parking in your landlord casual bays.

Tenant

This filter shows data for all drivers who belong to a tenant, wherever they park. This includes their use of your landlord casual bays.

The No organisation option shows data for drivers whose company doesn't lease bays from you or doesn't manage its bays in BaseUp.

Which filter should I use, Leased by or Tenant?

Use Leased by to see how a tenant uses the bays they lease from you.

Use Tenant to see everything that tenant's drivers do in your car park.

For example, in an incidents report:

  • Tenant shows all incidents involving that tenant's drivers, in any bay in the car park.

  • Leased by shows only incidents that happened in that tenant's leased bays.

How filters change utilisation reports

In any utilisation report, applying a filter shows the percentage of bays booked by what you selected. For example:

  • Choose a tenant in the Tenant filter to see the percentage of bays booked by that tenant.

  • Choose a parking type in the Parking filter, such as paid parking, to see the percentage of bays booked under that type.

  • Choose a usage in the Usages filter, such as EV parking, to see the percentage of bays booked under that usage.

What you can report on

Custom reports can show the following types of data. All organisations can report on these, including tenants using their own dashboard.

Utilisation

Shows the percentage of bays that were booked or vacant. Utilisation doesn't show whether drivers entered the car park.

For example, the Carpark Utilisation report shows the percentage of bays in the car park that were booked or vacant each month.

Booking totals

Shows the number of bookings made in the selected period.

Booking completion

Shows how many bookings were used and how many weren't. A booking is used when the driver enters the car park.

For example, use the Parking filter to compare booking completion for paid bays and free bays.

Revenue

Shows revenue from bookings in the selected period.

Incidents

Shows events logged in the car park, such as a driver reporting their space was taken or an admin opening a gate remotely. For example:

  • Operations shows when an admin opened a gate remotely, and when a driver reported their space was taken and how it was fixed.

  • Remote Gate Openings shows when an admin opened a gate remotely from the management portal, either for a driver's booking or directly from Live View or Manage Controllers.

For a full list of incident types and what each one means, see Incidents Definitions.

Reports for precinct landlords

These reports are specific to precinct landlords. They show how tenants use the car park.

Tenant Access & Usage

Shows how many drivers had access to the car park, and how many of them entered.

  • Blue (Accessed): drivers who entered the car park.

  • Orange (Not Accessed): drivers who had access but didn't enter.

This report only includes tenant leased bays. It doesn't include landlord casual bays.

Tenant Bookings by Type

Shows the total number of bookings, split by booking type. Booking types can be different for each tenant.

This report includes casual bookings, permanently allocated bays and landlord casual bays.

Tenant Bay Utilisation (Weekdays Only)

Shows the percentage of bays that were booked or permanently allocated on weekdays. It doesn't show whether drivers entered the car park.

If a tenant has mostly permanently allocated bays, high utilisation means most of their bays are assigned to drivers. It doesn't mean the bays are used often. To see how often drivers park, use Tenant Access & Usage.

Casual Bay Revenue by Domain

Shows revenue from bookings in your landlord casual bays, grouped by the driver's email domain, such as company.com.au. It doesn't include income from bays you lease directly to tenants.

This report includes drivers from all companies who booked your landlord casual bays. This includes companies that don't appear in the Tenant filter, because they don't lease bays from you or don't manage their bays in BaseUp.

Common questions

Why does my report show different data by day, week or month after I change the date range?

The report changes how it groups data to keep it readable. Long date ranges show data by week, month or quarter instead of by day.

What does utilisation show when I filter by permanent allocations?

When you choose permanent allocations in the Parking filter, utilisation shows how permanently allocated bays were used each day. A driver can keep their bay for the day or release it so others can book it.

  • The driver keeps their bay: the bay shows as booked.

  • The driver releases their bay and nobody books it: the bay shows as vacant.

  • The driver releases their bay and someone else books it: the bay isn't included in the report for that day. The new booking isn't a permanent allocation, so it doesn't appear under this filter.

Without the Parking filter, the last example shows as booked, because the report counts the other driver's booking.

Why is utilisation sometimes high when drivers rarely park?

Utilisation counts bays that are booked or permanently allocated. It doesn't check whether a driver entered the car park. If most of your bays are permanently allocated, use the Booking Completion report or the Tenant Access & Usage report to check how many drivers are entering the car park.

For precinct landlords: Why do Tenant Access & Usage and Tenant Bookings by Type show different results?

They measure different things. Tenant Access & Usage counts drivers and only includes tenant leased bays. Tenant Bookings by Type counts bookings and also includes landlord casual bays.

For precinct landlords: Why do I see a company in Casual Bay Revenue by Domain that isn't in my Tenant filter?

Casual Bay Revenue by Domain includes every driver who booked your landlord casual bays. The Tenant filter only lists companies that lease bays from you and manage them in BaseUp.

For precinct landlords: Does casual bay revenue include income from leased bays?

No. Casual Bay Revenue reports only include revenue from bookings in your landlord casual bays. They don't include income from bays you lease directly to tenants.

For precinct landlords: Why does a tenant show different incidents depending on the filter?

The Tenant filter shows incidents involving that tenant's drivers anywhere in the car park. The Leased by filter only shows incidents in that tenant's leased bays.
