Location: Management Portal > Reports > User Reports
User Reports is a page in the BaseUp Management Portal with two downloadable reports: the Accessible Parking Report and the User Export. Both reports cover active users only.
What is the Accessible Parking Report?
The Accessible Parking Report is a downloadable list of every active user who has an accessible vehicle registered. Admins generate it from Management Portal > Reports > User Reports > Generate Accessible Parking Report.
The report includes these columns:
Accessible vehicle registrations – confirms the user has an accessible vehicle recorded on their profile
Last Booking Date – the date the user's most recent booking was created
Booked Accessible Bay – whether the user's most recent booking used an accessible bay
Has Ever Booked Accessible Bay – whether the user has used an accessible bay in any booking, at any time
This report is often used by Admins who want to audit users who are booking accessible bays, to ensure they have valid permits and are not incorrectly booking those spaces.
What does "Booked Accessible Bay" mean?
"Booked Accessible Bay" shows whether a user's single most recent booking used an accessible bay. It only looks at the last booking. It does not look at booking history and does not average across bookings.
If a user's last booking was in a standard bay, this column shows FALSE, even if earlier bookings were in accessible bays.
What does "Has Ever Booked Accessible Bay" mean?
"Has Ever Booked Accessible Bay" shows whether a user has used an accessible bay in any booking across their entire history on the platform. It has no date limit and no timeframe. The report does not accept a date range as an input, so this column always covers the user's full booking history.
If a user has booked an accessible bay even once, this column shows TRUE, regardless of when that booking happened.
What is the difference between "Booked Accessible Bay" and "Has Ever Booked Accessible Bay"?
"Booked Accessible Bay" checks only the most recent booking. "Has Ever Booked Accessible Bay" checks the user's entire booking history with no date limit.
A user can show TRUE for "Has Ever Booked Accessible Bay" and FALSE for "Booked Accessible Bay." This means the user has booked an accessible bay before, but their most recent booking was for a standard bay. This is expected and correct.
A user cannot show TRUE for "Booked Accessible Bay" and FALSE for "Has Ever Booked Accessible Bay." The most recent booking is always included in the full history, so this combination should never appear. If it does, treat it as a data error and escalate it.
Why do some users show FALSE for both accessible bay columns with no Last Booking Date?
Some users appear on the report with an accessible vehicle registered but no Last Booking Date. This means the user has never made a live booking. In this case, both "Booked Accessible Bay" and "Has Ever Booked Accessible Bay" default to FALSE.
FALSE in this situation means the user has no booking on record. It does not mean the user booked a standard bay. Admins should keep this distinction in mind when explaining the report to clients, since both situations show FALSE but mean different things.
Does "Last Booking Date" mean the date the user parked?
No. "Last Booking Date" is based on when the booking was created, not the date the user parked or the date on the booking itself. A booking created yesterday for a parking date next month counts as more recent than a booking created last week for a parking date tomorrow.
If someone needs to know when a user last physically parked in an accessible bay, this column does not answer that question.
Do cancelled bookings count toward the accessible bay columns?
No. Cancelled bookings are excluded from both "Booked Accessible Bay" and "Has Ever Booked Accessible Bay." A cancelled booking that used an accessible bay is not counted in either column.
How is bay type determined for the accessible bay columns?
Bay type is based on the bay the system actually allocated to the booking, not the bay type the user requested. If no bay was allocated to a booking, that booking is treated as not accessible, regardless of what the user asked for.
What timezone are the dates shown in?
Dates on the Accessible Parking Report are shown in the local timezone of the booking site. If a site has no timezone configured, the report falls back to UTC.
Which users appear on the Accessible Parking Report?
The report includes active users who are owned by the organisation, or who belong to one of the organisation's user groups, and who have at least one live accessible vehicle registered. Users can appear on this report even if they have never made a booking, which is why some rows show no Last Booking Date.
What is the User Export?
The User Export is a downloadable list of every active user and their parking access setup. Admins generate it from Management Portal > Reports > User Reports > Generate Users Report.
The report includes these columns:
User Groups the user is a member of
Parking policies that apply to those user groups
Vehicles registered to the user
Use the User Export for a full view of user access and vehicle registrations. Use the Accessible Parking Report when the question is specifically about accessible parking usage.
