Allocations can be managed under the Configuration section. From here, you can create or view permanently allocated bays.
Creating an Allocation
To create a new allocation, select ‘Create Allocation’. Start by selecting the allocated floor and bay. Next, input the driver's registered work email address, followed by the allocated time period, accessible days and hours that the bay can be accessed by the driver.
You can leave the 'End Date' blank if the allocation is ongoing.
Once finished, click create. The driver will now see their allocation in their app.
Cancelling an Allocation
Click on a users active allocation, and click the cancel button in the top right corner.
Confirm the cancellation to complete the action.
Gifting and Releasing Allocations
Gifting allows drivers or admins to gift the space to a specific person, whereas releasing allows drivers and admins to share the bay to a wider pool of people.
Gifting and releasing is a feature that needs to be enabled for your company by the BaseUp team. If this isn't currently available on your dashboard, reach out to our team, and we can action this for you.
Split allocations (shared bay, different days)
When a bay is shared between two drivers on different days, each driver can gift or release the bay on their own allocated days only.
For example, if Driver A is allocated Bay 12 Monday to Wednesday and Driver B is allocated Thursday and Friday:
If Driver A releases Tuesday, any other driver can book Bay 12 that day.
On Thursday, Bay 12 stays with Driver B unless they release or gift it.
Editing Allocations
Allocations cannot be edited once created.
If you need to change which bay a driver is allocated to, you must:
Cancel the existing allocation
Create a new allocation with the correct bay
The same applies if you need to change:
Which weekdays are covered
The hours the allocation applies to
In other words, for most changes you cancel and recreate the allocation.
The only field you can edit on an existing allocation is the end date, and only for allocations that were originally created without an end date.
Don’t worry, drivers are not notified when an allocation is created or cancelled.
They will simply see the updated information (bay, access, dates) in their app.
