Contact Lists are used to notify selected stakeholders about repair and maintenance ticket activity.
By configuring a Contact List, you control:
Who receives notifications
How they are notified (Email and/or SMS)
Which tickets trigger notifications
What priority level must be met
Contact Lists ensure the right people are informed at the right time.
How to Create a Contact List
Follow these steps to create and configure a Contact List:
Step 1: Add a Contact List
Select Add Contact List.
Enter:
A clear list name
A brief description
The list type
Use descriptive names such as:
“Site Managers – High Priority”
“Maintenance Vendor – All Repairs”
Step 2: Configure Notification Rules
Choose how and when contacts should be notified.
Select:
Email and/or SMS
A minimum priority level
Relevant ticket types
Relevant ticket actions
The minimum priority setting ensures contacts are only notified when a ticket meets or exceeds that priority.
Selecting ticket types (e.g. Repair or Maintenance) and actions ensures notifications are triggered only for relevant events.
These rules control when the list will receive alerts.
Step 3: Add Contacts
Add the relevant contacts to the list.
All contacts included will be notified based on the rules you configured.
Before saving, confirm:
All required stakeholders are included
Contact details are correct
The notification rules match expectations
Step 4: Save the Contact List
Click Save to finalize the list.
Once saved, the Contact List can be assigned to:
Systems
Repair tickets
Maintenance schedules
Notifications will then be triggered automatically based on the configured rules.
