Managing Pool Cars in BaseUp

NAB manages pool cars through user groups in BaseUp. This guide explains how to find the right group and grant a user access to a pool car.

How pool car groups are organised

NAB user groups are divided into folders, one per site. When you open a site folder, you'll see all the user groups for that site. This includes business unit groups and, importantly, pool car groups.

Pool car groups don't use the vehicle registration in the name. Instead, each group name includes the business unit number, the business unit name, and the words "Pool Cars".

Because of this, you'll need to know which business unit owns the pool car before you can grant access.

Granting a user access to a pool car

  1. Open the folder for the relevant site.

  2. Find the pool car group for the business unit that owns the car (you can also use the search icon)

  3. Click on that user group.

  4. In the top right, click Add User.

  5. Add the user you want to grant access to.

Checking the assigned policies

To confirm you have the right group, click on the user group and then click Policies. This shows the policies assigned to that group.

Focus on the policy name and asset type. If it shows "Pool Car" under asset type, that's a pool car policy, which lets the user book that vehicle. If multiple vehicles are linked to the policy, the user can book any of them.
