Managing Checklists

Checklists define the tasks technicians must complete when performing maintenance on assets within a maintenance schedule.

Each checklist contains a series of inspection or service tasks that guide technicians through the required work. This ensures maintenance is completed consistently and all required checks are documented.

What Is a Checklist?

A checklist is a structured list of maintenance tasks linked to an asset within a maintenance schedule.

Technicians complete the checklist when performing maintenance, marking the status of each task and recording any issues found during the inspection.

Checklists help ensure:

  • Maintenance work is performed consistently

  • Inspection steps are not missed

  • Results are clearly documented

  • Issues are identified and tracked

Creating a Checklist

To create a new checklist:

  1. Navigate to the Checklist tab.

  2. From here, you can view and edit existing checklists or create a new one.

Step 1: Name the Checklist

Enter a clear and descriptive name for the checklist.

The name should reflect the system or equipment type the checklist applies to.

Example:

  • “Car Lift: 4-High”

  • “CCTV Camera: Routine Check”

Clear naming helps users quickly identify which checklist should be used for each asset.

Step 2: Add Status Options

Define the status options technicians will use to record the outcome of each checklist task.

Common examples may include:

  • No Issue

  • Monitor

  • Pending Repair

  • Take Offline

These status options help communicate the condition of the asset and highlight any issues requiring follow-up action.

Step 3: Add Checklist Tasks

Add the specific tasks technicians must complete during the inspection.

Each task should clearly describe what needs to be checked or serviced.

Example tasks may include:

  • Inspect block pulley

  • Check cable tension

  • Test the safety stop mechanism

  • Verify lift operation

Clear task descriptions ensure technicians understand exactly what needs to be inspected.
